Getting started with eSign

What S+M eSign does, how your company's workspace is set up, and the email, branding and language settings it needs.

Updated October 15, 2026 View as Markdown

S+M eSign sends PDF documents for electronic signature. Signers need no account: they get a personal link by email, agree to sign electronically, fill in their fields and sign. When everyone has signed, eSign seals the PDF with a digital seal and a trusted timestamp and adds a certificate of completion with the full history.

You can send documents from EspoCRM or from your own software through the API.

Your workspace

Each company has its own eSign workspace: its documents, settings, email sender and API keys are kept apart from everyone else's.

Note

Today S+M sets up your workspace with you. Signing in to eSign with your S+M account and choosing a plan yourself are on the way; this page will say so when they arrive.

Email sending

eSign sends the invitations and signed copies from your own email account (SMTP), never from a shared address, so signers see mail from you. Until this is set up, your workspace can't send documents.

You need:

  • From name: shown to signers (your company name if left empty).
  • From address: for example contracts@example.com.
  • SMTP host, Port and Security (STARTTLS (587) or SSL (465)), Username and Password.

The password is stored encrypted. For Google Workspace, use an app password. A test email confirms the settings work.

Tip

Mail that arrives reliably also needs your domain's SPF and DKIM records to allow that mail server. Your email provider explains how.

Branding and language

  • Logo: PNG (a transparent background works best) or JPG, up to 2 MB, shown up to 300 px wide in emails and on the signing pages. You can hide the company name under the logo if the logo already includes it.
  • Signer language: English or Spanish, for the signing pages and every email signers receive. A single document can still use another language, chosen in EspoCRM or through the API.
